Privacy Policy

This Privacy Policy describes what information Universal Scheduling ("we", "us", "our") collects through universalscheduling.com and the GOAT Recruiter mobile app, how we use it, and the choices you have. We are a youth-sports scheduling and event-services provider; we collect only what we need to run events, and we do not sell personal information or show ads.

Information we collect
  • Account information. When you create an account we collect your name and email address. Passwords are stored only in hashed form.
  • Tournament operations data. Event organizers and clubs provide information needed to run events: club, team, and coach names, game schedules, field and venue details, and referee assignments.
  • Player and roster information. Clubs and event organizers may provide player names, birth years, jersey numbers, and roster documents (such as player cards and waivers) so that we can verify rosters for their events. This information is supplied by the player's own club or event organizer.
  • Waivers, check-in, and event forms. When a parent, guardian, coach, or team representative signs a waiver, uploads a check-in document, or sends us a request about an event (for example a scheduling request), we collect the email address they submit it with and the information that event's form asks for.
  • Recruiting information (GOAT Recruiter). Recruiters upload lists of athletes they want to evaluate (name, email). Athletes then choose their team, jersey number, and position through a private link. Recruiters record evaluation notes and ratings, which are visible only to them and other recruiters at their program.
  • Payment information. Payments are processed by Stripe. Card and bank details go to Stripe and do not touch our servers; we keep only records of invoices and payment status.
  • Team payments (organizations collecting entry fees). If an organization uses us to collect registration payments from its teams, Stripe additionally verifies that business and the people behind it: through Stripe's onboarding screens, Stripe collects business details and information about beneficial owners and the account representative, including name, date of birth, home address, and government identification number. That identity information goes to Stripe — we do not receive or store it. We do store the payer's email address and the payment record, and we pass the payer's email to Stripe with the payment.   • Technical basics. Standard server logs (IP address, pages requested) and the cookies required to keep you signed in. We do not use advertising or cross-site tracking cookies.

How we use information
We use the information above to run tournaments and leagues: building and publishing schedules, verifying rosters, helping assignors assign referees, scheduling recruiter visits, sending service emails (invitations, schedule notices, reminders), invoicing, and responding to support requests. We send email through Amazon SES. We do not sell personal information, and we do not use it for advertising.

Email addresses you give us for an event
If you give us your email address through one of our event forms - an online waiver, team check-in, a coach or scheduling request, a referee response, or anything similar - we use that address only within the context of the event it was submitted for: to confirm and send you a copy of what you submitted, to reach you about that event, and to make your submission available to the organizer running the event, who is the party it was collected for. We do not sell email addresses, we do not rent or trade them, and we do not add an address collected this way to any general marketing or mass-mailing list of ours. What an organizer does with the information it receives is governed by that organizer's own practices.
This commitment attaches to the address you gave us on that form. It does not restrict us from contacting someone whose email address we already had, or that we obtain independently of their event submission (for example through a prior relationship, a referral, or a publicly available source such as a public website), where that contact happens outside the context of the event.

The GOAT Recruiter app
The mobile app stores your schedule and notes on your device so it works offline at fields with poor connectivity, and syncs them back to our servers when a connection is available. The app may refresh your schedule in the background around your event days and show local notifications (for example, a reminder to head to your next venue). It does not track your location and does not access your contacts, photos, or files. Signing in uses a code or link sent to your email - the app never sees a password.

Email choices
Every recruiting email sent to an athlete includes a link to stop receiving emails from recruiters associated with that program, or from all programs, immediately and without signing in. Addresses that bounce or complain are automatically suppressed from future sending. Operational emails tied to an event you are participating in (for example, a schedule you requested) may still be sent while the event is active.

Sharing
We share information only as needed to run the service:
  • With service providers that host and operate our systems: Amazon Web Services (hosting and email delivery) and Stripe (payments). Where an organization collects team payments, Stripe is also an independent controller of the identity information it collects for its own regulatory obligations — see the Team Payments Privacy Supplement.
  • With the event organizers, clubs, and tournament platforms involved in running an event you participate in - the same parties who provided the data.
  • Recruiting evaluations are private to the recruiter and other recruiters at their program; they are not shared with athletes, clubs, or recruiters associated with other programs.
  • When required by law.

Young athletes
Player and athlete information is provided to us by the athlete's own club, event organizer, or a recruiter - not collected from the athlete directly, except where an athlete confirms their team and jersey number through their private link. Parents and guardians may contact us at any time to review or remove a child's information, and the email opt-out described above works for anyone.

Retention and deletion
We keep information for as long as it is needed to run the events and accounts it belongs to, and for reasonable record-keeping afterwards. You can ask us to delete your account or personal information by emailing the address below; we will honor the request unless we are required to keep the record (for example, invoices).

Security
All traffic to our services is encrypted with TLS. Access to personal information is limited to the people who need it to operate the service.

Changes
If we make material changes to this policy we will update this page and change the effective date above.
